How to Cover a Crew Gap at 24 Hours Notice Without Losing the Day

Published 15 October 2026 by Bluestone Labour Group.

To cover a crew gap at 24 hours notice, send your labour hire provider one complete message as early in the day as you can: the site address, start time, who the worker reports to, the task, the plant, the tickets required and how long the job will run. A provider can fill a clear request for a general civil labourer overnight. A vague request for “a labourer tomorrow” usually gets whoever is free, and that is how a short notice fill turns into a lost morning.

This guide is for site managers and supervisors on civil, subdivision and road jobs around Melbourne who need to replace a no show, add hands for a pour or cover an unplanned stage. It sets out what a provider actually needs from you, what is realistic overnight for each type of role, and how to get a useful day out of someone who has never seen your site.

What to send with a short notice request

Everything here saves a phone call, and every saved phone call is time the provider spends finding the right worker.

The task and the plant

Say what the worker will actually do: trench support and pipe laying, spotting for an excavator, boxing for kerb, general clean up. Name the machines on site. “Labourer” covers too much ground to match well.

Tickets and competencies

List every ticket the role needs before the worker can start: white card, traffic control, dogging, confined space, or a verification of competency for a particular machine. A provider cannot add a ticket overnight.

Where, when and who

Full site address, gate or compound entry, start time, parking, and the name and number of the person the worker reports to. Many first mornings are lost to a worker waiting at the wrong gate.

Site rules

Site induction format, drug and alcohol testing, any PPE the site requires beyond the usual, and whether the site issues anything at the gate. Hidden conditions are the most common reason a worker is turned away.

What is realistic overnight

A rough guide. It depends on the day, the corridor and how complete the request is.

General civil labourers
Often fillable for the next morning when the request lands by early afternoon
Pipe and drainage hands
Usually next day if recent trench experience is all you need
Concreters for a pour
Book as soon as the pour date is set, as pour crews are in demand
Traffic controllers
Possible overnight, but ticket and site setup requirements narrow the pool
Plant operators
Harder overnight, because the competency must match your exact machine
Dogmen and riggers
Smallest pool, so give as much notice as you can

A short notice request in one message

  • Site address, entry point and parking
  • Start time, finish time and expected length of the job
  • Name and mobile number of the supervisor the worker reports to
  • The task, the plant on site and the experience you need
  • Tickets and competencies required before the worker can start
  • Site induction, testing and PPE requirements
  • Whether you want the same worker back for the rest of the week

Send it in writing, by email or text, so the details reach the worker exactly as you wrote them. A phone call followed by nothing in writing is how the start time ends up wrong.

Making the first shift count

Ask for the worker's details the night before. Name, phone number, tickets held and expected arrival time should reach your supervisor before the worker reaches the gate. If those details have not arrived by early evening, call the provider then rather than at 6.45 the next morning.

Keep the site induction short and practical. A short notice worker has not seen the site plan, the traffic setup or the exclusion zones around the plant. Ten minutes walking the work area with the leading hand does more than a long video, and it lets you judge the worker early.

Pair them up for the first hours. Put the new worker alongside someone who knows the job. You find out quickly whether they can do what was asked, and you can tell the provider before lunch rather than at the end of the week.

Give feedback the same day. If the worker is good, ask for them back. If they are not suited, say so early and say why. A provider can only improve the next fill if it knows what went wrong with this one.

Cut down the short notice calls. Most gaps are not true surprises. Share your two week look ahead with the provider, warn them about pours, tie ins and stage changes, and ask for the same workers to be held for your programme. A provider that knows your plan can line up workers before the phone rings, and the overnight scramble becomes the exception.

Bluestone Labour Group supplies civil labourers, plant operators, concreters and traffic controllers to civil sites across Melbourne. Our workers are casual employees on our payroll under the relevant award, and we hold Victorian Labour Hire Licence VICLHL11535. Frequently asked questions

Often, for general civil labourers, when the provider has a pool of workers whose white cards and right to work are already checked and the request arrives by early afternoon. Ticketed roles such as dogmen, traffic controllers and operators for a particular machine are harder to fill overnight because fewer people hold the tickets.

The site address, start time, who the worker reports to, the task, the plant on site, the tickets or competencies required, how long the job will run, and any site rules such as drug and alcohol testing or the PPE the site requires. The more of this in the first message, the faster and better the match.

The charge rate for a role does not usually change because the request is urgent, but the work can cost more in other ways: a weaker match, extra supervision on day one and a repeat induction if the worker does not suit. Planned requests give the provider time to send someone who fits.

The earlier the better. A request sent by early afternoon gives the provider time to confirm a worker, check tickets and send you the details the same evening. Requests made late in the evening can still be filled, but the choice of worker is narrower.
